SALE, PUBLICATION, AND LOAN OF PHOTOGRAPHS AND IMAGES FROM THE PHOTOGRAPH COLLECTION, ARCHIVES, AND OBJECTS IN THE MUSEUM COLLECTION

[COLLECTIONS MANAGEMENT POLICY SUPPLEMENT]

 

PURCHASING PHOTOGRAPHS AND IMAGES:

1. Prints may be purchased for private use or scholarly/educational use with the understanding that the use is limited to those intended uses. For publishing TVHS images, see below. 

2. For physical copy prints used for private/scholarly/educational use, the cost is $15.00 for members and $25.00 for non-members, for an 8" X 10" black and white copy print. RATES SUBJECT TO CHANGE.  Prices for additional sizes available on request.

3. For high resolution digital files used for private/scholarly/educational use, the cost is $5.00 for members and $10.00 for non-members.

4. A photocopy or digital image may not be further reproduced. Supplying a copy or digital image is not an authorization to publish.

5. Ownership of a copy print, digital image, or other format does not constitute permission to publish.  Permission must be obtained separately and in writing (see below).

6. In granting permission to publish materials, the Society does not surrender its own right thereafter to publish any of the materials from its collections, nor does it grant permission for more than one-time use.  

7. While we provide permission to use images in our collection, we may not own the copyright and it is up to the user to secure copyright permissions. We will not be held liable for user’s action/inaction.

 

PUBLISHING PHOTOGRAPHS

1. Photographs (this term includes images in digital formats) of photos or objects in the collections may be published only with written permission of the Society.

2. The term “publication” includes but is not limited to books, journal articles, websites, social media, and other formats.

3. Photographs may not be published until a “License Agreement” has been executed & the applicable fee paid.

4. The publication fee schedule shall be as follows:

   • For a scholarly use                                                     no fee
      

   • For another museum or historical agency            Members: $30.00 per photo 

                                                                                                    Non-members: $50.00 per photo 
 

• For other noncommercial publications                        Members: $30.00 per photo 

                                                                                                   Non-members: $50.00 per photo 
 

• For commercial or advertising use                               Members: $100.00 per photo

                                                                                                   Non-members: $150.00 per photo
 

5. In addition, all categories above will be charged if a copy of a photo must be made.  Society staff will arrange for it.   See #2 under “Purchasing Photographs” for fees.

6. The photographs shall carry the credit line, “Collection of the Three Village Historical Society, Long Island, NY” 

7. Publication fees may be increased to reflect our costs. 

8. Fees for uses other than those described above will be charged on a case-by-case basis.

 

BORROWING PHOTOGRAPHS

1. No original photographs may be borrowed.

2. If a copy of a photo must be made, Society staff will arrange it.  

3. All photographs, negatives, and digital copies remain the property of the Society.  Images may not be sold, re-used or reproduced in any format without permission of the Society.  No markings may be made on the photographs if used for publication.
